Responsible for support services: 1) Complete monthly audits that are required for accreditation and funding. a) Dietary Audits b) Refrigerator Logs 2) Ensures daily Census is accurate and updated as needed. 3) Maintains appropriate documentation in client charts a) Scan reports and other documents in the EMR as received/reviewed b) Ensures any loose documents received after client discharges are imported in the EMR c) Creates new charts in preparation for admissions d) Import any documentation that is received from the Clerk's office into the clients EMR e) Ensures all incoming gold faxes are uploaded into the clients EMR 4) Provides customer service to internal and external clients in person, by phone, in writing, and in person a) Is attentive to the requests of staff on duty maintaining a customer-friendly attitude b) Answers unit phones promptly and courteously, identifying self and location in doing so c) Places calls on hold appropriately to maintain confidentiality d) Knows how to determine if a caller has access to the information being requested and refers calls to the staff appropriately e) Initiates contact with other internal departments as needed: identifies self and makes f) appropriate requests for information or assistance g) Demonstrates proper phone etiquette. 5) File petitions and other legal documentation with the Circuit Court a) Follow up on physician orders for BA32 when on duty b) Ensures that BA32 written over the weekends are filed expeditious with the Court c) Files petitions and withdrawals as needed d) Updates any new key clinical information regarding client Baker Act status in the clients EMR e) Provides information to the Court in a timely fashion and follows up as needed f) Ensure the weekly court docket is correct 6) Maintains and monitors inventory of unit supplies a) Maintains the program with supplies such as pens, pencils, dry erase markers, permanent markers, paper clips, staples, copy paper, etc b) Maintains the program with client hygiene supplies such as shampoo/body wash, lotion, deodorant, gloves, ect 7) Maintains appropriate supply of chart forms at the nurses' station a) Maintains a "clean copy" of program specific forms and orders copies to be made by Central Services as needed b) Makes requests of Center forms from Central Services as needed to prevent shortages. 8) Scan completed DCF Surveys to our QI department as required by the Lutheran contract Ensure patients are admitted and discharged appropriately from EMR 9) Ensure that all invoices are received by Fiscal a) Scan any incoming invoices/packing slips from vendors such as Alsco, TYA, Medline, Amazon, ect 10) Coordinate the distribution of mail and packages 11) Provide assistance to the nursing staff by pick up meds from pharmacy 12) Provide key request forms to staff requesting a unit key 13) Ensure lab requests are completed appropriately and coordinates with the phlebotomist (may handle specimens) a) Follow up with the labs by printing out the lab results, attaching them to the appropriate pink requisition. b) Once the lab result has been attached to the requisition give a copy to the physician and import the original into the clients EMR. 14) Ensure all systems are up and running such as telephones, printers, televisions, video monitoring screens, ECT. When systems are not working properly an E-ticket is completed with our IT department. 15) Maintain a neat and clean environment of the facility a) Inspects the units frequently and submit any work orders that are needed 16) Willing to be an active participant in client restraints, as needed. Completes unit clerk's competency checklist, and annual mandatory online education ? Attends 80% of unit meetings ? Attends 100% of mandatory meetings and in-services ? Organization Minimum Qualifications: Education and Training: High school diploma or equivalent Familiarity with PC functions Experience: Applicants must have 1 year of relevant clerical experience in a clinical setting, or 2 years clerical experience in a non clinical setting. Testing will be required to verify ability to type and utilize computer applications. Preferred Education and Training: Computer skills 1-2 years college Previous work experience as a hospital based unit clerk Knowledge of filing court documentation Language Skills: Effective communication in English Fluency in Spanish desirable Communication Skills: Attentive to others and asks questions appropriately Effectively conveys and obtains information Ability to multi-task preferred Mathematical Skills: Ability to add, subtract, multiply, divide, use a calculator Reasoning Ability: Identifies issues and potential solutions Customer Service: Dedicated to providing excellence Committed to client and customer satisfaction Experience with persons with severe and persistent mental illness preferred Physical Demands: Must be able to walk the distance of 50-100 feet multiple times in a day (walking) Must be able to lift up to 25 pounds routinely, up to 50 pounds rarely (lifting) Must be able to place charts in slots that may be above eye level (stretching) Must be able to access paperwork and charts below waist level (bending, stooping) Must be able to use a keyboard and mouse (fine motor skills) Schedule Requirements: Hours of work are Monday-Friday 7:30am - 4pm. Checks in with supervisor before leaving the office Requests time off with appropriate notice, minimum of two weeks.
