This position provides clerical assistance for phone triage, assisting practitioners, clinic staff, clients and customers to all areas of the main Site Clinic. This position is under the direct supervision of the Administrative Assistant III-SES supervisor. This position is required to have fundamental working knowledge of the Incident Command System.
Provides clerical support assistance for phone triage, assisting practitioners, clinic staff and clients by retrieving messages, routing calls appropriately, faxing, sending correspondences, data entry, documentation in EMR/HMS, routing forms/records to appropriate practitioner, to medical records for scanning or special requests paperwork etc., timely completion of care coordination, returning client phone calls and other clerical duties as assigned. Scans diagnostic reports from outside entities into Attached Documents in EMR and care coordination to appropriate practitioner for review.
Schedules appointments for procedure clinic (IUD, Implants) and does insurance verification. Schedules client appointments appropriately and as requested by the practitioner, obtaining and verifying demographics and insurance information.
Assist with inventory of all clinic supplies. Serves as the back-up contact person for copier maintenance. Assist with ordering clinical equipment, toner, paper and other office supplies for the clinic areas.
Assist Supervisor in Practitioner schedules to ensure that all leave request are being routed appropriately and the schedule is posted in a timely manner.
Provides Interpretive services for Hispanic clients related to providing medical services and other areas within the Alachua County Health Department as needed.
Retrieves mail from mail room twice daily and distributes to practitioners, clinic staff and supervisors. Takes all outgoing mail to the mail room once daily.
Attends monthly clinical staff meetings or if unable to attend, reads and signs minutes to maintain knowledge of any changes in the organization. Is responsible for taking and recording clinical staff meeting minutes.
Performs other duties as assigned.
Responsible for securing the designated information sets for the purposes of protecting confidentially, data integrity and appropriate access for all information, both confidential and public record, which is stored in hard copy or electronic formats.
Incumbent may be required to work during or beyond normal work hours or days in the event of an emergency. Emergency operation functions of the incumbent include but are not limited to special needs shelters, Red Cross shelters and/or other emergency functions.
